Manage Referrals

Track incoming referrals from hospitals, MCOs, and physicians through to intake.

Create a referral

Go to Referrals → New Referral. Enter the referral source (hospital, MCO, physician, or self), the patient's name, date of birth, Medicaid ID, contact information, and the service being requested. Set the urgency level: Routine, Urgent, or Emergent.

Track referral status

Referrals move through a defined workflow: New → Reviewing → Auth Pending → Authorized → Scheduled → Active. Update the status as you progress. The referral list shows color-coded status badges so you can prioritise urgent cases at a glance.

Accept or decline

Once you have reviewed the referral, click Accept to proceed with intake or Decline with a reason if you cannot serve the patient. Declined referrals are retained for audit purposes.

Log communications

Use the Communication Log on the referral detail page to record calls, emails, and faxes with the referring source, MCO, or patient family. Each entry is timestamped for your records.
